Submission Guidelines

Invitation Letter

An Invitation Letter serves as official confirmation that your paper submission and registration have been accepted by the conference Organizing Committee. Issued in English, it can support your visa application—though it does not guarantee visa approval. Letters are sent by email once both registration and payment are complete.

    How to Request Your Invitation Letter

    Email your request to info@ardaconference.com with the following attachments:

  • 1. Completed Registration Form Click here
  • 2. Proof of Payment (receipt or transaction confirmation)
  • 3. Passport-Size Photo (JPEG/PNG format)
  • 4. Passport Scan Copy (photo page, PDF or image format)
  • Tip: Submit your request at least 4 (weeks before travel — standard recommendation) weeks before your planned travel date to allow ample processing time.

    Important Notes
  • Processing Time: Expect your invitation letter within 5 (business days for processing) business days of submitting all documents.
  • Visa Responsibility: The Organizing Committee has no influence over embassy or consulate decisions. Please start your visa application early.
  • Denial of Visa: If your visa application is refused, we are unable to intervene or correspond with visa authorities on your behalf.
